Privacy Policy

AI Cloud Partners LLC (“Company,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Partner Intelligence Engine (PIE) platform and related services.
This policy applies to all users of PIE, including organization administrators, team members, and viewers. By using PIE, you consent to the data practices described in this policy.
1. Information We Collect
1.1 Information You Provide
- Account Information. Name, email address, company name, job title, and Microsoft Entra ID profile data provided during authentication
- Organization Data. Microsoft Partner Network (MPN) ID, partner profile data, Solutions Partner designations, and program enrollment details
- Uploaded Documents. Statements of Work (SOWs), project documents, and business files you submit for analysis
- Workforce Information. Team member names, email addresses, certification records, and role assignments you manage within PIE
- Payment Information. Billing details processed through Stripe. We do not store full credit card numbers on our servers.
1.2 Information from Microsoft Partner Center
When you connect your Partner Center account, PIE accesses the following data with your authorization:
- Partner profile and program enrollment status
- Solutions Partner designation progress and scoring
- Workforce training completions and Microsoft Learn activity
- Certification records for team members
- Customer engagement and association data
1.3 Information Collected Automatically
- Usage Data. Features accessed, actions taken, time spent, and navigation patterns within PIE
- Device Information. Browser type, operating system, screen resolution, and language preferences
- Network Information. IP address and general geographic location (city/region level)
- Cookies. Session cookies for authentication and preference cookies for user experience (see Section 8)
1.4 Information Generated by PIE
- AI Analysis Results. SOW analysis outputs, incentive opportunity scores, enhancement recommendations, and eligibility assessments generated by PIE’s AI engine
- Platform Analytics. Aggregated usage metrics, partner ecosystem data, and Azure resource attribution data collected through standard Microsoft partner ecosystem mechanisms
- Certification Analytics. Study progress, quiz scores, completion rates, and quality flag reports within the CERTIFY module
2. How We Use Your Information
We use the information we collect for the following purposes:
2.1 Providing PIE Services
- Analyzing SOWs and identifying applicable Microsoft incentive programs
- Tracking certification progress, enrollment, and eligibility status
- Synchronizing workforce data from Microsoft Partner Center
- Managing Partner Admin Link (PAL) associations and engagement tracking
- Generating reports, evidence documentation, and exportable deliverables
- Processing payments and managing subscriptions through Stripe
2.2 Platform Operations
- Operating and maintaining the PIE platform infrastructure
- Performing platform analytics and partner ecosystem optimization using standard Microsoft partner mechanisms, including Azure resource attribution
- Improving AI analysis accuracy and expanding incentive program coverage
- Monitoring platform health, security, and performance
2.3 Communications
- Sending notifications about deadlines, program updates, and account activity
- Delivering engagement emails and PAL magic link invitations on your behalf
- Providing customer support and responding to inquiries
- Communicating material changes to our Terms or this Privacy Policy
2.4 Aggregated Analytics
We may generate aggregated, de-identified analytics from platform usage data. This aggregated data cannot be used to identify you or your organization and may be used to improve our services, publish industry insights, or demonstrate platform effectiveness.
3. Data Sharing and Disclosure
We do not sell your personal information. We do not rent, trade, or otherwise make your personal data available to third parties for their own marketing purposes.
We may share information with the following categories of recipients:

We may also disclose information: (a) when required by law, subpoena, or legal process; (b) to protect our rights, safety, or property; (c) to enforce our Terms of Service; or (d) in connection with a merger, acquisition, or sale of assets (with prior notice to affected users where practicable).
4. AI and Automated Processing
PIE uses artificial intelligence and machine learning technologies to analyze your uploaded documents and provide recommendations. You should be aware that:
- Document Processing. When you upload a SOW or document for analysis, its content is processed by AI models to identify incentive opportunities, extract key data points, and generate recommendations.
- No Persistent AI Training. Your individual documents are not used to train general-purpose AI models. Analysis is performed on a per-request basis.
- Human Review. AI-generated outputs may be reviewed by our team for quality assurance purposes. Such reviews are conducted under confidentiality obligations.
- Opt-Out. You may choose not to use AI-powered features, though this will limit the functionality available to you within PIE.
5. Data Security
We implement industry-standard security measures to protect your information, including:
- Encryption. All data is encrypted in transit (TLS 1.2+) and at rest using Azure-managed encryption keys
- Authentication. Multi-factor authentication via Microsoft Entra ID; role-based access controls (Org Admin, Member, Viewer)
- Infrastructure. Azure-native security controls, network isolation, and compliance certifications
- Access Controls. Principle of least privilege for platform administrators; audit logging of data access
- Monitoring. Azure Application Insights for performance and security monitoring
While we take reasonable measures to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.
6. Data Retention
- Active Accounts. We retain your information for as long as your account is active and as needed to provide PIE services.
- After Cancellation. Upon account cancellation or termination, you have thirty (30) days to export your data. After this period, we reserve the right to delete all customer data from our systems.
- Uploaded Documents. SOWs and uploaded files are retained for the duration of your subscription. Analysis results are retained to support historical reporting.
- Billing Records. Payment and transaction records are retained as required by applicable tax and financial regulations (typically 7 years).
- Aggregated Data. De-identified, aggregated analytics may be retained indefinitely as they cannot be linked to individual users.
You may request deletion of your personal data at any time by contacting privacy@aicloudpartners.com. We will process requests within 30 days, subject to legal retention obligations.
7. Your Rights and Choices
7.1 General Rights
Depending on your location, you may have the following rights regarding your personal information:
- Access. Request a copy of the personal data we hold about you
- Correction. Request correction of inaccurate or incomplete data
- Deletion. Request deletion of your personal data, subject to legal retention requirements
- Portability. Request your data in a structured, machine-readable format
- Objection. Object to certain processing of your data
- Restriction. Request that we limit how we use your data
- Withdraw Consent. Withdraw consent for Partner Center data access by disconnecting your account in PIE settings
- Opt-Out. Opt out of marketing communications at any time
7.2 California Residents (CCPA/CPRA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):
- Right to know what personal information we collect, use, and disclose
- Right to delete your personal information
- Right to opt out of the sale or sharing of personal information (we do not sell your data)
- Right to non-discrimination for exercising your privacy rights
- Right to correct inaccurate personal information
- Right to limit use of sensitive personal information

7.3 European Users (GDPR)
If you are located in the European Economic Area (EEA) or United Kingdom, our legal bases for processing your data include: (a) performance of our contract with you; (b) your consent (which you may withdraw at any time); (c) our legitimate interests in operating and improving PIE; and (d) compliance with legal obligations.
You may lodge a complaint with your local data protection authority if you believe your rights have been violated. For EU/UK data inquiries, contact privacy@aicloudpartners.com.
8. Cookies and Tracking
PIE uses the following categories of cookies and similar technologies:
- Essential Cookies. Required for authentication, session management, and security. These cannot be disabled.
- Functional Cookies. Remember your preferences, language settings, and display options.
- Analytics Cookies. Help us understand how you use PIE to improve the platform. These may include Azure Application Insights telemetry.
We do not use advertising cookies or third-party tracking pixels. You can manage cookie preferences through your browser settings. Disabling essential cookies may prevent you from using PIE.
Do Not Track. PIE does not currently respond to “Do Not Track” browser signals, as there is no industry-standard implementation. We limit tracking to the categories described above.
9. International Data Transfers
PIE is hosted on Microsoft Azure infrastructure in the United States (West US 2 region). If you access PIE from outside the United States, your information will be transferred to and processed in the United States. By using PIE, you consent to this transfer.
For European users, we rely on Standard Contractual Clauses (SCCs) as approved by the European Commission and Microsoft’s Azure compliance certifications to ensure adequate protection of transferred data.
10. Children’s Privacy
PIE is a business-to-business (B2B) platform not intended for individuals under 18 years of age. We do not knowingly collect personal information from children. If we become aware that we have collected data from a minor, we will take steps to delete it promptly.
11. Third-Party Links and Services
PIE may contain links to third-party websites or services, including Microsoft Learn, Microsoft Partner Center, and Stripe. This Privacy Policy does not apply to those third-party services. We encourage you to review the privacy policies of any third-party services you access through PIE.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email to the address associated with your account and/or through a prominent notice within the platform at least thirty (30) days before the changes take effect.
Your continued use of PIE after the effective date of an updated policy constitutes acceptance of the changes. The “Last Updated” date at the top of this page reflects the most recent revision.
